TMS Telematics Integration Checklist
“We integrate with that” covers everything from a certified two-way sync to a nightly file somebody has to remember to upload. Get specific before signing.
- Ask which named providers are supported, at which plan tier, and at what extra cost.
- Ask how a position is matched to a load — that mapping is where integrations actually fail.
- Ask what happens when the feed stops. Silent failure is the common and expensive case.
Coverage
- Which telematics and ELD providers are supported, by name and by version?
- Is the integration included in the plan being quoted, an add-on, or a professional-services engagement?
- Who holds the API credentials, and what happens to the link if that account changes hands?
Data quality
- How often does a position refresh, and is that interval different for a moving unit and a parked one?
- How is a position matched to a load — automatically from the assigned unit, or from a mapping somebody maintains by hand?
- Are arrival and departure derived by the TMS, taken from the provider, or not derived at all?
- How much position history is retained, and can it be exported for a dispute or a claim?
Failure behaviour
- What does the screen show when the feed stops — a stale position, an explicit “no data”, or nothing?
- Is anyone alerted, and after how long?
- When the link is restored, does missed history backfill or is that window lost permanently?
Commercials
- Is the integration priced per asset, per integration, or per plan?
- If you change telematics providers in eighteen months, what does that migration cost?
- Is the historical position data exportable if you leave, and in what format?
Ask for a trial with your own units
A demo runs on the vendor's data, which is always clean. Ask to connect two or three of your own units — ideally one that behaves badly — and watch it for a week before committing. The same principle applies to hardware; see how to choose a GPS tracker.

Questions
What should I ask a TMS vendor about telematics?
Which providers are supported by name, whether it is included in your plan, how often position refreshes, how a position is matched to a load and asset, how much history is retained, and how a broken feed is surfaced.
Why does load matching matter so much?
A position is only useful attached to an order. If matching relies on a manually maintained mapping between a device and a unit number, it will drift the first time equipment is swapped, and the tracking data will quietly attach to the wrong load.
What is the most commonly missed question?
What happens when the integration fails. Many systems degrade silently, so the map simply stops updating and nobody notices until a customer asks where their freight is.
